The role:
We have an opportunity for a self-driven and motivated Project Administrator, with excellent interpersonal and organisational skills. The successful candidate will possess great attention to detail and understand the importance of following business process to ensure projects are commenced, supported, and completed in accordance with scheduling.
Working with an experienced and dedicated team you will be exposed to all areas of shop fitting and construction.
This role is perfect for someone looking to take the next step in the Construction Industry. Your primary responsibility will be to complete the businesses small client projects, including maintenance works of key clients and with the support of the current team. You will also have good construction knowledge of sub trades and enjoy liaising with clients plus a willingness to learn. This role is for a dynamic individual who will be encouraged to grow their career within the business and will be provided the opportunity to develop into a Project Management role
Your responsibilities will include:
- Receive all incoming plans/drawings & tenders for quoting
- Assist Estimator/Project Manager to distribute and collect sub-contractor & supplier quotes in order to provide quotation for client
- For small projects, receive the clients brief, including any formal drawings and details. Complete a works request form and prepare and obtain client approval on the scope and program for the works.
- For small projects(or maintenance work), determine where possible, a budget for the project and confirm this with the client.
- Submit the small job quotation and the detail scope of works to the client for formal approval
- Liaise with Architects (as required) and organise all building permits and approvals including Town Planning applications where necessary
- Liaise with Shopping Centres to provide all relevant documentation for On-Site Inductions and Job Start
- Organise the works including assisting the Project Manager and/or Construction Supervisor to prepare purchase orders for materials, secure sub-contractors and on site labour
- Ensure that all critical documentation is included in all job files on a weekly basis, that all costs are entered into the job cost system, the job is closed off and that the file is checked passed to accounts for invoicing
- Issue weekly client progress reports to YVC key clients
- In consultation with the Project Manager, arrange site inductions
- Compile final certificates for all trades
Skills required for this role include:
Excellent organisational skills and the ability to coordinate several small projects simultaneously
Strong interpersonal skills with the ability to liaise effectively with our key clients and maintain our sound relationships with preferred trades
Strong written and verbal skills
Good computer knowledge
Sound knowledge of sub trades and market rates and ability to read plans
Willing to learn from an experienced and dedicated team

Your responsibilities will include:
Business Development Planning
- Work with YVC Principal and CFO to develop and implement a strategic sales plan that aligns with the business financial objectives
- Lead team to achieve YVC sales target – Recruit, lead, manage and develop an appropriate Sales/PM team with supporting sales processes, create a sales structure and culture appropriate to local market conditions that will deliver on corporate objectives
- Drive and manage marketing plan including liaising with social media contractor on FB, Twitter, instagram, linked in content, issue of quarterly newsletters and maintaining up to date marketing material including company profile and website
New Business Development
- Prospect for potential new clients and generate new leads with the aim of creating sales including Identify niches within the industry and target them based on capability, ex: Existing hospitality contacts
- Attend conferences, meetings and industry functions, such as association events, and provide feedback and information on market and creative trends
- Identify new opportunities: cold call as appropriate within your market or geographic area to ensure a robust pipeline of opportunities. * Meet potential clients by growing, maintaining, and leveraging your network including past clients of YVC and prospective clients where quote tender was “lost”
- Research and build relationships/ rapport with existing clients and prospective new clients
- Identify decision makers within the client organization and set up meetings between client decision makers and YVC Principal.
- Plan approaches and pitches. * Work with team to develop proposals that speaks to the client’s needs, concerns, and objectives.
- Participate in pricing the solution/service.
Client Retention
- Ensuring customer loyalty through excellent customer service as well as meeting all client needs appropriate to their business
- Work with Project Managers to meet customer needs and actively provide feedback and critique to internal staff on client service improvement and the operational attention to detail that will be required to improve customer service
- Arrange and participate in internal and external client debriefs post hand over
Operational Management
- Manage and Coordinate end to end operational processes including coordination of the Estimating, Set Out, Production and Project Teams according to business and client delivery priorities
- Work closely or manage Estimating and fix clear objectives and expectations on competitiveness.
- Develop and oversee continual improvement to client service and delivery processes
- Build and manage growth in small jobs “maintenance” segment of the business
- Resource Planning & Team Performance – Support colleagues in their development and/or in the performance of their work. Acting as a discussion partner, stimulating and motivating others and influencing them to think about their own behaviour. Promote and maintain high standards of customer service to both internal and external customers.
- Analysis and Reporting of performance by client including leading Job close out meetings to drive improvement across estimating , set out, production and on site
- Use International exposure and network to build overseas network.
- Use existing sourcing contacts/factories in China for offshore procurement while targeting big box retailers/existing connection. Part of QC process & discussion.
Management & Reporting
- Submit weekly progress reports to YVC Principal, monthly sales reports and summary of client satisfaction (large jobs) for monthly management report.
Skills required for this role include:
- (Desirable) Bachelors Degree
- (Desirable) 3-5 years sales marketing experience
- Skills in Networking & persuasion, closing skills
- Strong level of market knowledge and current events
- Ability to identify Customer needs and challenges
- A high motivation for sales and meeting sales goals
- Immaculate presentation and professionalism
- A high level of computer literacy, including MS Office
- Excellent time management and organisation
